Summary: This position will report to the Membership Team Supervisor, and along with a team, supports the membership of SEIU Local 1021 members in Northern California. Working under the direction of the Membership Team Supervisor, the position is responsible for financial and administrative work in support of dues processing and contract administration, including telephone contact with union members, production of written materials, data entry, uploading data, and performing preliminary data analysis.
Essential Responsibilities: This position’s essential responsibility is providing membership support by collecting and maintaining accurate membership data, interacting with employers for the collection of member dues, processing applications, and corresponding with members and staff. The Membership Specialist duties listed below are representative of the position:
- Monitor the accounting and processing of membership dues revenue, voluntary political contributions, and other monies; quickly process new membership and COPE applications to reduce exposure to liabilities under DOL rules and record-keeping requirements
- Compile, maintain and update membership application records, revocations, terminations, dues deductions, adjustments and various other types of information online and maintain applicable hard copy information
- Maintain and update all membership data in the Local’s membership database (UnionWare). Routinely get updated bargaining unit lists from jurisdictions and update the membership database accordingly. Comparing the data against membership information in the database and following up for non-paying members
- Processes memberships and reconciles selected chapter accounts as required; responds to inquiries and problems related to the collection and accounting of membership data from chapters
- Coordinates and organizes the flow of membership data between chapters and field offices
- Maintain communication with employers and members as it relates to dues deductions, deletions, additions or problems
- Maintain contract compliance and post dues for assigned jurisdictions for deposits. Monthly dues processing must be completed accurately and in accordance with department policies and procedures
- Ensure appropriate and timely dues rate implementation and rate changes
- Track and initiate collection procedures on all outstanding balances. Proactive in contacting employer for delinquent dues and COPE payments
- Review collection and write-off process with the Membership Team Supervisor
- Communicate and collaborate with leaders of internal departments on membership matters
- Maintains liaison with applicable parties (including external contacts) with regard to processing and accounting or membership procedures. Prepares reports and distributes data to applicable parties
- Assists the supervisor in coordinating workflow for membership processing and accounting
- Responsible for proficiently using, serving as a resource, providing technical support to staff, and assisting on the adoption of the Local’s technology platforms
DATA ANALYSIS
- Maximize revenue by identifying and resolving inconsistencies in membership status and dues/fee deductions. Work closely with supervisor in resolving
- Utilizing research, organizational and analytical skills, execute data mining projects and create reports to make financial and/or operational recommendations by tracking membership statistics. Present this key decision-making data, forecasting, and trends to the supervisor
- Process, analyze and audit employer-provided data and union records; determine variances; act to document, reconcile and resolve variances per Union policies and procedures
- Extract membership data from UnionWare, analyze the information, and build custom reports in Microsoft Excel, using the exported information for various uses to increase union density and meet other organizational objectives
- Identify and propose solutions to automate the data collection and payment processing
- Participate in problem-solving to identify systemic (organizational, processes, and systems) problems/issues and define and present solutions
GENERAL OPERATIONS
- Assist in enhancing workflow processes to increase productivity and service to members
- Manage and complete special projects as assigned, including research and planning
- Responsible for interacting and providing professional-level administrative support to Local management and union members
- Respond to member inquiries, including the necessary coordination and calculation of time required to complete the requested task
- When required, assist the Member Resource Center with member support
- Provide input and recommendations to enhance the operation and effectiveness of the department
- Participate in meetings, actions, presentations, and trainings
- Assist in the coordination and participation in labor union activities, such as encouraging non-members to become members by assisting with new member sign-up and COPE campaigns
- Updates job knowledge by participating in educational opportunities and proactively seeks ways to stay informed on cutting edge trends that could benefit the department
- May provide cross-training to other Membership, Operations, and Field staff
Minimum Qualifications and Special Skills:
- Bachelor’s degree or high school diploma with a minimum of three years’ experience in an office-based clerical setting
- Clear and diplomatic writing and oral communication skills
- Proficient in Microsoft Excel and Microsoft Office Suite
- Computer literacy required, and working knowledge of a database
- Accurate typing skills over 45 words a minute
- Strong interpersonal and communication skills, capable of interacting professionally, both verbally and in writing
- Ability to work well in sensitive situations in person or on the telephone
- Strong analytical and judgment skills
- Solid organization skills, with an ability to stay focused and prioritize work assignments
- Excellent attention to detail
- Background as a public employee or with labor unions desirable
- Fluency in a second language preferred, but not required
- Applicants must successfully complete a clerical skills assessment test

REQUIREMENT: Proof of full vaccination is required for this position.
SALARY AND BENEFITS: $30.8976/hr. Excellent benefits after meeting minimum length of assignment requirement.
